Sales Coordinator - Customer Service (Maternity Cover)

About the Position:


GUBI is looking for a motivated, detail-oriented Sales Coordinator to join our Customer Service team on a maternity-cover basis. Your main responsibility will be to deliver an outstanding customer experience to key partners and private customers, while working closely with internal stakeholders across the organization.

This role is ideal for someone eager to leverage AI-enabled workflows and digital tools to improve efficiency, solve challenges, and enhance service delivery. You will support customers throughout the order process, product launches, and campaigns, while contributing to the ongoing development of customer service delivery.

 

 

Key Responsibilities:

 

- Provide excellent customer service to key partners and private customers, partnering closely with our sales teams across the Nordic markets, webshop, and claims.

- Manage end-to-end coordination and communication, including:

- Registering quotes, orders, and claims. 

- Collaborating with Supply Chain, Finance, Marketing, Warehouse, and logistics partners to ensure timely deliveries.

- Keeping customers and sales teams continuously updated on relevant information, product launches, and campaigns.

- Managing day-to-day troubleshooting related to orders and deliveries.

- Supporting the wider Customer Service team with order entry, general inquiries, and service to other markets as needed.

- Handling showroom management duties, including reception tasks and assisting customers and visitors.

- Leverage ERP and Customer Service platforms, including AI-assisted tools, to streamline workflows, triage inquiries, and improve response times.

- Capture customer feedback, identify process bottlenecks, and contribute to continuous service and process improvements.

- Support the development of digital service channels, such as knowledge base content and service playbooks, using data-driven insights.

 

 

Qualifications & Experience:

 

- Solid experience within customer service, sales coordination, order management, and logistics from a similar position.

- Experience managing key partners and customer relationships.

- Strong experience with ERP and CRM systems, and comfort in adopting new technologies and digital workflows.

- Strong problem-solving skills with a structured and data-driven mindset.

- Familiarity with working towards customer satisfaction targets, service levels, and delivery standards.

- Preferably, experience and a genuine interest in the furniture and/or lighting industry.

- Ability to manage multiple tasks and priorities simultaneously in a cross-functional environment.

- An operational, energetic, and solution-oriented approach, with the ability to thrive in a fast-paced environment.

- Bonus: experience with, or strong interest in, AI-enabled customer service tools such as chatbots, automation, or knowledge management systems.
